Job Description
Trinity Baptist Church in Lexington, KY, is currently seeking someone to fill the role of Office Manager for their ministry.
Under the direction of the Senior Pastor, the Office Manager is responsible for the administrative support of the church staff and committees in the ongoing ministry of the church. The Office Manager shall be above reproach in character, morals, ethical conduct and will always represent himself/herself in a Godly manner. The Office Manager shall be a born-again Christian. A background check and drug screening will be conducted.
Requirements / Qualifications
Education/Experience Requirements:
A minimum of two years experience in a church/office environment is desired.
Proficiency with QuickBooks and Microsoft Office Suite is preferred.
Experience in social media and graphic software is desired.
Experience with general office equipment is required.
Must be a self-starter.
Major Duties and Responsibilities:
Answer all incoming telephone calls with a pleasant voice and manner.
Process all incoming mail, e-mail, and voice mail. Initiate e-mail notifications regarding urgent/nonurgent status of church members and events.
Maintain confidentialities.
Provide clerical assistance to church staff and committees as requested, including but not limited to meeting minutes and filing, notices, quarterly/special business meeting, ordering of materials (Sunday School, Bible Study groups) etc.
Maintain an appropriate filing system.
Develop marketing material for print, social media, and website.
Maintain the church membership roll and mailing lists for offering envelopes and newsletter publications.
Issue giving statements, as requested by the Finance Committee.
Process and publish weekly worship bulletins and monthly newsletter with input from staff, committee, and church members. Proofread all publications and presentations for accuracy.
Maintain a calendar of regularly scheduled church activities, committee meetings, special events, etc. Schedule church facilities in conjunction with church calendar for weddings, receptions, meetings and other special events, process paperwork and collect money for above events per church policy.
Participate in church staff meetings and devotional time.
Enter accounts payable, process and mail checks, and file paperwork.
Process timesheets and obtain sign-off from Senior Pastor or Chair of Personnel. Submit bi-monthly payroll for hourly/salaried staff to ADP Payroll Services.
Process requests for assistance with food, rent and/or utilities, etc. Submit to Benevolence Committee for approval and distribution.
Maintain sign-in/out log for church property, including vehicles, building keys, electronic equipment, and software, etc.
Coordinate, update and file the annual church birthday/anniversary calendar.
Operate and maintain office equipment.
Other duties as assigned.
